  • Job Description

    Our client, a prominent Japanese trading firm, is currently seeking a General Affairs & HR Assistant Manager (Japanese Speaking). This position reports to the Head of the General Affairs & HR Department (ADM).

    【 Responsibilities 】
    - Facilitate a smooth relocation process for Japanese expatriates, including visa support, bank account setup, and housing arrangements (service apartments).
    - Conduct onboarding and offboarding orientations for employees.
    - Assist Japanese expatriates with employee benefits arrangements, such as education allowances, medical expenses, housing allowances, and memberships.
    - Coordinate billing with Tokyo HQ for JAS fees, trainee fees, and related expenses.
    - Manage corporate golf memberships, including applications, transfers, and cancellations for subsidiary companies.
    - Update and maintain HR-related data, including headcount reports, mailing lists, organization charts, and contact lists.
    - Research housing rental trends to negotiate allowances with Tokyo HQ.
    - Maintain relationships and negotiate corporate rates with service apartment vendors.
    - Organize VIP visits and coordinate meetings and gatherings for Japanese expatriates.
    - Conduct crisis management simulation exercises for subsidiary companies.
    - Manage documentation for corporate ACRA filings and updates.
    - Act as Personal Assistant to the General Manager (GM) or Acting GM in their absence.
    - Perform any other ad-hoc administrative tasks as assigned.

Qualifications

  • Requirement

    【Requirements & Preferences】
    <Must>
    - Bachelor’s Degree in any discipline or equivalent.
    - Over 5 years of experience in a General Affairs/Admin role relevant to the job description.
    - Proficiency in Japanese (JLPT N2 Level) in speaking, listening, and writing is essential for effective communication via phone calls, emails, and meetings with Tokyo HQ, as well as with local and expatriate staff in branch offices and subsidiary companies.
    - Strong attention to detail, excellent communication skills, and a proactive approach to collaborating with team members and cross-departments to ensure smooth and efficient daily operations.
    - Positive attitude and eagerness to learn.

    <Advantageous>
    - Proficiency in MS Office applications and familiarity with accounting systems such as SAP is preferred.
