    Our client, a Japanese trading company, is seeking a Japanese-speaking Secretary. This role involves providing support to the Chief Financial Officer (CFO) and Chief Strategy Officer (CSO) in their daily duties and managing various company affairs.

    【Responsibilities】
    - Maximize the CFO and CSO’s working calendar to ensure effective time management, including business travel and meeting arrangements within recommended safety parameters.
    - Manage work-related documents for the CFO and CSO, ensuring proper endorsement and filing, including travel-related and business registration documents.
    - Organise and arrange business lunches, dinners, offsite meetings with business associates
    - Arrange travel and accommodations
    - Welcome officers’ guests by greeting them, and directing them to the appropriate place
    - Assist and support officers’ guests from overseas with their logistics, accommodations, and setting meeting schedule
    - Manage the CFO and CEO’s incoming and outgoing documents effectively
    - Manage corporate drivers and vehicles to ensure that they are available at all reasonable times
    - Support the CEO’s secretary when s/he is absent, not available, or need support
    - Officers’ secretary support when Japanese communication is needed
    - Handle confidential documents ensuring they remain secure
    - Support arrangement of the company’s events
    - Organise and arrange business lunches, dinners, offsite meetings with business associates
    - Manage documents– orderly filing of physical documents and archiving of soft copy documents
    - Book shared resources e.g. meeting rooms and company cars for meetings
    - Support Strategy and Planning administrator when needed
    - Other miscellaneous administrative support / ad-hoc tasks

Qualifications

    【Requirements & Preferences】
    <Must>
    - Diploma in Business Management, Business Administration, or a related field.
    - Minimum of 2 years in Corporate Support.
    - Proficient in English and Japanese (N2 level or above) in speaking, listening, and writing for effective communication with Japanese-speaking counterparts.
    - Advanced knowledge of IT equipment and tools, including email (Outlook) and internet functions.
    - Advanced skills in administrative software, including word processing, Excel spreadsheets, and presentation applications.
    - Willingness to work overtime when required.
    - Comfortable working in a fast-paced environment.

    <Advantageous>
    -Candidate with working experience in a Japanese company is a plus.
