Job Description
Our client is a global manufacturing company. The role of an Assistant Admin Manager is to support the Manager in daily office tasks, help streamline office operations, and ensure our staff and expatriates have adequate support to work efficiently.
Department: Strategic Planning & Business Development Division (SPBD)
【Responsibilities】
- Perform and in charge of corporate secretarial work.
- Assist in supervising daily operations of the organization.
- Ensure office tasks including scheduling, correspondence, and reporting are handled efficiently.
- Provide support to expatriates, including but not limited to, coordinating relocation, assisting with local registration procedures, and helping to familiarize them with local customs and practices.
- Manage office and showroom facilities to ensure a safe and comfortable work environment.
- Oversee vendor contracts and conduct negotiations to ensure cost-effective solutions.
- Assist in organizing company events or conferences.
- Consider and promote activities to improve business operations.

【Requirements & Preferences】
(Must)
- Minimum Diploma/Bachelor's Degree in Business Administration or relevant field
- At least 5 years of experience in building and contracts, and expatriate management such as:
1. Familiarity with communication with building management and contractors for repair/maintenance work
2. Experience in handling contracts/agreements such as with outsourcing companies of renewal of office/external vendor contracts
3. Allocate costs to various cost centers and prepare intercompany contracts (office rental, shared services)
4. Experience in Tenancy/Lease Agreement/Diplomatic Clause etc
5. Handling Expatriate's apartment, handover/takeover, etc
6. Orientation of ex-pats (mainly their benefits)
7. Assist in the development and implementation of policies regarding expats
8. Drafting of minutes for BOD meetings and board resolutions
9. Able to lead a team of 4 and has experience in managing more than 3 subordinates
- Comfortable to come to the office during power shutdown or building maintenance (3-4 times a year)
- Comfortable working outside the office when required
(Advantageous)
- Knowledge of business law would be an added advantage.
- Experience working in a Japanese company would be a plus!English Level
