  • Job Description

    Our client specializes in providing a wide range of products and services, including ship stores, spare part supplies, lubricating oils, and engineering services for various types of vessels. The Operations Executive will be responsible for coordinating and managing the procurement and delivery of ship parts, stores, technical services, and other requirements for customers (ship management companies, shipowners, or operators) on a global scale.

    This role also involves managing customer relationships in the Philippines and liaising with Filipino vessel crews.


    【 Responsibilities 】
    - Identify and source suppliers or product makers locally and overseas.
    - Check incoming e-mail of the customer for RFQ
    - Prepares request for quotation to possible maker/product supplier (Local / Overseas)
    - Obtain competitive quotes from multiple sources and negotiate pricing and payment terms with suppliers/product-makers.
    - Review supplier quotations and documentation for accuracy and compliance.
    - Prepare and submit competitive quotations to customers.
    - Follow up with customers regarding orders after quotation submission.
    - Review and process customer order sheets upon receipt.
    - Generate order sheets for suppliers and delivery orders for shipments.
    - Coordinate and ensure the timely delivery of goods to vessels and verify receipt of items.
    - Manage and follow up on supplier invoices.
    - Prepare and issue invoices to customers.
    - Maintain organized records by sorting and filing relevant documents.
    - Visit customers in the Philippines as required to strengthen relationships.
    - Serve as a boarding officer to attend vessels for parts, stores, and provisions arrangements.
    - Handle the collection and delivery of goods from suppliers to vessels or shipyards.

Qualifications

  • Requirement

    【 Requirement & Preferences 】

    (Must)
    - Minimum “O” Level or Diploma qualification.
    - At least 3 years of experience in a similar role within the marine sector (e.g., as a ship chandler or purchaser).
    - Strong interpersonal and communication skills in English and Tagalog to effectively liaise with native customers.
    - Proven ability to manage a profitable book of business with consistent performance.
    - Demonstrated expertise in building and maintaining a strong customer portfolio while enhancing supplier relationships.
    - Strong time management and bookkeeping skills.
    - Proficient in computer usage and related software applications.
    - Possess a valid Class 3 driving license.
