To set up the meeting rooms for the Managing Director’s periodic meetings with Japan Headquarters and overseas offices.- Handle calls and receive guests for appointments with the Japanese Management in the Head Office.- Maintain a filing system with database records of Japanese managers’ income and allowances as well as business expenditures for tax reporting.- Collate Japanese documents for sending to Japan Headquarters and other overseas offices periodically.- Prepare the Monthly Schedule for each month in advance after liaising with the relevant departments on meetings and events of the calendar year.- Provide strong support to the functions of the General Affairs Department with involvement in the matters relating to the duties to be assigned by the immediate superior, the Senior Department Manager.- Perform administrative tasks on the day-to-day matters to:1) Update the Attendance records of General Affairs staff for approval;2) Check and housekeep the meeting rooms daily.3) Disseminate postal mail collected from the letterboxes.4) Upkeep the office pantry- Any other tasks that are to be assigned by the Company and the immediate superior as and when necessary.
